What happens to your software bill when more volunteers show up?

Picture a neighborhood project that starts with 18 volunteers. A local employer offers a day of service. A school group joins for the summer. By autumn, 60 people have helped.

That is a hypothetical example, but it raises a useful buying question: does your scheduling bill grow with the number of people willing to help?

Compare the way the bill grows

Volunteer software uses different pricing structures. Volgistics calculates its fee using volunteer records, system operators, and selected services. Shiftgood's proposed paid plan takes a different approach to volunteer headcount: 30, 60, or 100 volunteers would carry the same $19 monthly organization price. The potential advantage is a predictable subscription budget as participation grows. It is not evidence that every organization would pay less than it would elsewhere.

Before buying, price three versions of your program: today's roster, your busiest event, and the records you expect to retain next year. Ask whether a vendor counts active people, stored records, administrators, or some combination. A quiet month's roster can hide what a busy season will cost.

For your own evaluation, choose one volunteer journey: finding a shift, signing up, receiving the instructions, attending, and getting the hours recorded. Notice where the coordinator must intervene. Then ask prospective providers to show how they handle those points.

Also check the details that a headline price leaves out: administrator allowances, message limits and delivery channels, record retention, exports, and any charges attached to the features you need. Unlimited volunteers does not, by itself, establish unlimited usage of every service.

Care has to show up in the decisions

For us, caring about volunteer-led organizations starts with a concrete pricing intention: once a team is on the proposed paid plan, welcoming another volunteer would not change the headcount portion of its bill.

The rest needs to be demonstrated through the product and the experience of using it. We will not ask you to treat a low price as proof of less coordination work.
